Terms of service
Using Brocnbells
Brocnbells helps adults find gym buddies, friends and people to date through shared activities. You can create a profile, connect, message and arrange to meet. Matching, messaging and meeting are free. Optional Hero plans provide the benefits described before purchase.
You must be at least 18 to have an account. By creating an account, you agree to these terms. The privacy policy explains how we handle personal data; accepting these terms does not give consent to every use of your data.
Give accurate account information, use photos you have permission to share, and keep your login links and credentials private. Tell us if someone gains unauthorised access to your account. You are responsible for your own use of the service, not automatically for activity caused by a security failure outside your control.
Conduct and meeting people
You are responsible for what you post, send and do, including at meetings you arrange. Do not:
- Harass, threaten, stalk, discriminate against or exploit other people.
- Impersonate someone, mislead people about who you are, or use the service for scams, spam or unsolicited commercial promotion.
- Share illegal content, someone else's private information without permission, or content that infringes their rights.
- Scrape member information, break into accounts, evade a suspension or interfere with the service.
We do not verify members' identities or carry out criminal background checks. A photo check, badge or activity indicator is not confirmation that someone is who they say they are or is safe to meet.
Decide for yourself whether to meet and which activities suit you. Agree on the location and any costs directly. Meet in a public place, tell someone your plans and leave if you feel unsafe. We do not supervise meetings, provide fitness or medical advice, or organise the activities members arrange with each other.
Report misconduct through the app's reporting controls or email us with the relevant profile, message or other details. For an immediate threat, contact local emergency services. We cannot promise to see every interaction or prevent every incident.
Your content
You keep ownership of your photos, profile text and messages. You give us a non-exclusive, royalty-free licence to store, process and display that content as needed to run Brocnbells, deliver messages, show profiles to their intended audiences and handle reports. Our service providers may do this on our behalf.
This licence does not let us sell your photos or use your private messages in advertising. It ends when the content is deleted from our systems, subject to the limited retention explained below. Copies other people have already saved are outside our direct control. Personal data remains subject to the privacy policy and applicable law.
Hero purchases and cancellation
Before you pay, checkout shows the price, billing period, benefits and whether the plan renews. Recurring plans renew until cancelled. A one-time purchase does not create a recurring subscription.
For a recurring plan, open Account and choose Manage subscription to stop renewal, or contact us for help. Cancellation normally leaves access in place until the paid period ends. Deleting the app does not cancel a subscription. Before deleting your account, cancel any recurring plan and keep the confirmation.
If you are an EU or EEA consumer purchasing a service online, you generally have 14 days from entering the contract to withdraw without giving a reason. Email us a clear withdrawal request with your account email and purchase date. Starting an ongoing subscription does not by itself remove this right. A proportionate charge for service already supplied applies only where the legal requirements for it have been met. Where a refund is due following withdrawal, we return it within 14 days of your notice.
Your statutory remedies for a defective or undelivered service still apply, including any right to have it corrected, receive a price reduction or end the contract. These rights apply even after the withdrawal period has ended.
Suspension and ending the service
You can stop using Brocnbells and delete your account at any time.
We may restrict content or suspend or close an account for a serious or repeated breach of these terms, a safety or security risk, or a legal requirement. We will act proportionately and explain the reason where we can, unless doing so would be unlawful or compromise an investigation or someone's safety. Contact us to request a review if you think we made a mistake.
If we discontinue a paid service, we will give reasonable notice where possible and provide any refund or other remedy required by law. Closing an account does not remove either party's existing legal rights or obligations.
Responsibility and liability
We must provide the service with reasonable care and meet our legal obligations. We do not promise a particular number of matches, replies or meetings, or guarantee another member's behaviour. Third-party venues and websites are responsible for their own services.
We are not responsible for harm caused solely by another member's independent conduct or by an activity you arrange, where we have not breached a legal duty. This does not excuse our own negligence or failure to meet obligations that the law places on us.
Nothing in these terms excludes liability that cannot lawfully be excluded, including applicable liability for personal injury, fraud, intentional misconduct or gross negligence. Your mandatory consumer rights and rights under data protection law remain intact.
Changes to these terms
We may update these terms for legal, security or technical reasons, or to reflect changes to the service. We will explain material changes and when they take effect. For changes to an ongoing paid contract, we will give at least 30 days' advance notice unless the law requires a different period or urgent action is necessary.
We will not use a terms update to remove rights you already have. Any change to a paid service or price must have a lawful basis and preserve your notice, cancellation and refund rights. Where consent is required, we will ask for it.
Finnish law and disputes
Finnish law governs these terms. If you are a consumer, this choice does not take away mandatory protections under the law that would otherwise apply in your country of residence.
Please email us first so we can try to resolve a complaint. If it remains unresolved, you can seek help from the Finnish Consumer Advisory Services or, for eligible cross-border disputes, the European Consumer Centre.
You can refer an eligible dispute to the Finnish Consumer Disputes Board. Its procedure is free and its decisions are recommendations. Ordinary complaints must be submitted in Finnish or Swedish. You can also bring a claim before a competent court, including a court in your country of residence where applicable consumer jurisdiction rules allow it. These terms do not require private arbitration.
Privacy policy
Who is responsible
We are the controller of personal data used to operate Brocnbells. Contact team@brocnbells.com for privacy questions or requests. Our company details are at the top of this page.
This policy covers visitors, members, city waitlist subscribers and people who contact us. Brocnbells is for adults aged 18 and over.
What we collect
- Account details, such as your name, email, birth year, gender, city and login information. If you choose a supported social login, we receive the identifier and profile details authorised through that provider.
- Profile information you add, such as photos, a biography, activities, interests, meeting preferences, work details and optional phone or social contact details. Dating preferences, health goals and some interests can reveal sensitive information.
- Connections and communications, including requests, responses, messages, reports, support emails, copies of emails we send and feedback. Other members may provide information about you in messages or reports.
- Service activity, including visits, login times, profile completion, responses and meeting-related actions. We use some of this information to order recommendations and show activity indicators.
- Technical information, such as IP address, browser or device details, app version, errors and push-notification tokens.
- Payment and subscription information from Stripe, including customer references, plan, payment status and transaction records. Stripe handles card details; we do not store them in your Brocnbells profile.
- Your email, selected city and optional interest when you join a city waitlist, and referral or advertising information such as campaign parameters and Meta ad-click identifiers.
Account and basic profile details are needed to provide matching and messaging. Payment information is needed for paid purchases. Other profile details are optional. Device location permission lets us suggest a city or show nearby places. You can refuse or revoke that permission in your browser or device settings.
Why we use information
The legal bases for our core service, support and city updates are:
- Our contract with you. We use account, basic profile, connection and message information to provide the service you request, administer purchases and answer service requests.
- Legitimate interests. We use relevant information to prevent abuse, investigate reports, diagnose faults, understand service use and defend legal claims. We must balance these interests against your rights. You can object as explained below.
- Legal obligations. We keep and use information needed for applicable accounting, tax and data protection duties and binding legal demands.
- Consent. When you ask for city waitlist updates, we use your details to send those updates. You can unsubscribe at any time. Where another optional use requires consent, that permission must be separate from accepting our terms.
We use your selected interests and preferences to show relevant people and information. Some optional details can reveal health information, sexual orientation or beliefs. These details are optional. You can change or remove them in your profile or contact us to request removal.
What other people can see
A limited public profile, including your name, photos and city, can be visible without signing in. Signed-in members can see more of your profile, including interests and other details you provide. Profile photos use publicly accessible image links.
An accepted connection can also receive your email and any phone number or social contact details you provide. Messages are shared with their recipients. Other people can save or share information outside Brocnbells, so consider what you put in your profile and messages.
People operating Brocnbells may access relevant records to provide support, investigate reports and maintain the service. We do not sell member data.
Service providers
We use the following providers for their stated functions:
- Hosteurope hosts the application and database. Amazon Web Services stores photos and backups. Cloudflare provides website security and caches content, including profile photos, near visitors.
- Stripe handles payments and subscriptions.
- Mailchimp Transactional, also called Mandrill, delivers service and other emails.
- Sentry receives diagnostics to help us find and fix errors. Website recordings are described below.
- Google, Firebase and Apple provide relevant sign-in, map and notification features. Other supported social-login providers receive information when you use their sign-in service.
- Slack receives internal billing notifications containing your email and payment or subscription details.
- Meta receives registration and purchase events for members attributed to its advertising. These can include a hashed email, ad-click identifier, campaign information and purchase value. A hashed email can still be linked to a person.
Providers may also act as independent controllers for their own legal, security or account purposes. Their privacy notices explain those uses. We may disclose necessary information to authorities when legally required or to advisers handling a claim.
Email, analytics and diagnostics
We send account and service messages and may send reminders or promotional messages about Brocnbells. Use email preferences or the unsubscribe link to stop optional email. You can also ask us to stop direct marketing without deleting your account. Essential account and security messages may still be sent.
We use browser storage for sign-in and service preferences. Self-hosted Umami records page use and actions, with context such as city, gender, platform and local member density. It does not use analytics cookies here; the associated information is still covered by this policy.
Website Sentry diagnostics include your account email and error-triggered session recordings. Page text and media are not fully masked, so recordings can include visible profile details or messages. Mobile crash reporting uses limited technical diagnostics without session recordings. Email preferences do not switch off website diagnostics.
Where information is processed
Our application and database are hosted at Hosteurope's data centre in Germany. Backups are stored in AWS's Stockholm region in Sweden. Profile images are stored in AWS's Singapore region. Cloudflare can cache and deliver those images through its international network, including Singapore.
Other providers can process information outside the European Economic Area, including in the United States, where our Sentry organisation is hosted. AWS's and Cloudflare's data-processing terms include the European Commission's Standard Contractual Clauses for relevant international transfers. These clauses set obligations for protecting transferred personal data. Contact us for information about the safeguards relevant to your data and how to obtain a copy.
How long we keep information
We keep your account and associated service information while your account is active. When you delete it, we remove the active records described under Account deletion. Separate records can remain for the purposes below.
Support correspondence is kept while a request or related dispute remains open. Deletion feedback is used to understand account closures and service problems. City waitlist details are used until the relevant city update has been sent, the launch is abandoned or you withdraw your request. We may keep a minimal unsubscribe record to respect your choice.
We review support correspondence, deletion feedback and city waitlist records at least quarterly and delete records that are no longer needed for those purposes, unless a legal obligation or specific claim requires retention.
Sentry has a standard 30-day retention period; some performance metrics can remain for up to 396 days. Mailchimp Transactional documents 30-day retention for message content and recent activity; its statistical records can remain longer.
We keep our own copies of sent emails for delivery and support investigations. When your account is deleted, we remove the sent-email records linked to it and records addressed to your account email from our active database. We do not retain a database copy of the deletion confirmation. Email-provider records and backups follow the separate retention periods described here.
Billing records are retained for the applicable accounting and tax requirements. Records needed for a specific legal claim are kept while that claim and applicable limitation periods require them.
Backups rotate separately. Deleted personal data disappears from those backups as they rotate, no later than 24 months after deletion. This does not extend the retention of your active account.
Account deletion
Open Account, choose Delete my account, and follow the confirmation steps. You can also request deletion without installing or signing in: email team@brocnbells.com, preferably from your registered address.
Account deletion removes your profile, connection requests, messages sent and received, and reports linked to the account from the active service. A separate deletion record can retain an account identifier, city, timing, reason and any feedback you submit. Avoid putting personal details in optional feedback.
Removing a profile or photo does not currently remove every stored image file or cached copy automatically. Contact us to request removal of remaining photos. Backups and the separate records described above can remain after account deletion. We cannot directly erase copies other people have saved, such as screenshots or emails.
Cancel a recurring Hero subscription before deleting your account, or ask us to help. Deleting an account and cancelling a subscription are separate actions.
Your data rights
Under the GDPR, you can request access to your personal data and a copy, correct inaccurate data, request erasure, or restrict processing in the circumstances the law provides. Where applicable, you can receive data you supplied in a portable format and ask us to send it to another controller.
You can object to processing based on legitimate interests because of your particular situation. You can object to direct marketing at any time, including related profiling. If we rely on consent, you can withdraw it without affecting earlier lawful processing.
Email team@brocnbells.com to make a request. Profile settings are not a complete data-access or export tool. You do not need to install the app or sign in to exercise your rights.
We handle requests manually and respond without undue delay and within one month. Complex or numerous requests may need up to two further months; we will explain an extension within the first month. Requests are normally free. Any lawful refusal or fee for a manifestly unfounded or excessive request will be explained.
We may ask for proportionate information to confirm that a request concerns your account where we have reasonable doubts. This is separate from member identity verification, which we do not provide. Do not send identity documents unless we explain why they are necessary and provide a suitable way to supply them.
You can complain to the Finnish Data Protection Ombudsman, or another competent supervisory authority, particularly where you live, work or believe an infringement occurred. You do not have to contact us first. You also retain the right to seek a judicial remedy.
Recommendations and photo checks
We use profile preferences, shared interests and service activity to order recommendations and display activity indicators. This affects which profiles you see and how yours appears to others. Automated photo checks assess whether a photo contains a person and can reject an upload; they do not identify that person or verify their identity. Contact us to request a review if you think a check or restriction is wrong.
Changes to this policy
We will date updates and notify you of material changes through the service or by email as appropriate. A policy update does not give consent to a new use that requires your permission.
